This page explains the terms that apply when you place an order with HxPromo — quotes, artwork, production, payment and what happens if something goes wrong.

About these terms
These terms apply to custom printed and decorated products supplied by HxPromo once you accept a formal quote and we issue an order confirmation. Product information on this website — including planning prices, MOQ estimates and lead-time estimates — is provided for shortlisting and budgeting. Only the formal quote and order confirmation are binding.
Quotes and pricing
Every project starts with a formal quote that identifies the exact product, supply route, decoration method, unit pricing, setup costs, freight and a validity period. Prices may change after the validity period ends or if the specification changes. Quotes are prepared for the named recipient and are not transferable.
Placing an order
An order is created when you approve the formal quote and we confirm it in writing. Production does not begin until two things happen: payment (or an agreed deposit) is received, and you approve the digital proof. By approving a proof you confirm that artwork, spelling, colors, quantities and placement are correct as shown.
Artwork and intellectual property
You confirm that you own — or have permission to use — any logo, name, image or text you submit. HxPromo does not reproduce material that infringes someone else's rights, and we may decline artwork that appears unlawful or infringing. You agree to cover claims that arise from reproducing materials you supplied.
Production tolerances
Custom manufacturing follows industry-standard quantity tolerances: finished quantities may run up to 5% over or under the ordered amount, and you are invoiced for the actual quantity shipped. Minor variations in color between production runs, and between on-screen previews and the finished product, are normal in printing and decoration.
Payment
Standard orders require payment or an agreed deposit before production begins; the balance is due per the payment terms stated on the formal invoice. Late payments may pause production and scheduled shipments until the account is settled.
Changes and cancellation
Changes are free while a project is still in quoting. After proof approval, changes may require a new proof and affect timing and cost. Once production has started, the order cannot be cancelled, and costs already incurred — materials, decoration and preparation — remain payable.
Quality and remakes
If a delivered product does not match the approved proof — wrong imprint, wrong placement or a verified manufacturing defect — we will remake the affected pieces or issue a credit, as agreed with you. Products that match an approved proof are not eligible for remakes simply because expectations changed after approval.
Limitation of liability
HxPromo's liability for any order is limited to the amount paid for that order. We are not liable for indirect losses such as lost profits or event costs arising from delays outside our control, including carrier delays, supply disruptions or extreme weather.
